Gameplan App — Privacy Policy

About This Policy

Gameplan is an application developed by Lifelab Studios, Inc. ("Lifelab," "we," "us") for use by authorized staff at partner agencies — including county justice, probation, recovery, and social service organizations — implementing the Coach Referee Model for Change (CRMC). Gameplan is not a consumer-facing application and is not distributed to the general public or to clients served by partner agencies.

This Privacy Policy describes how Gameplan collects, uses, stores, and protects information when used by authorized users in the course of their organizational change work.

Who This App Is For

Access to Gameplan is limited to:

• Employees of Lifelab Studios, Inc.
• Authorized staff of Lifelab partner agencies who have been provisioned access through their organization

Gameplan is not intended for, marketed to, or made available to the general public, minors, or end clients of partner agencies.

What Gameplan Does

Gameplan supports authorized staff in implementing organizational change and relational practices. Within the app, users primarily:

• Consume playbooks and plays that guide coaching practice and organizational change
• Create personal goals tied to specific playbooks or plays
• Share goals, reflections, and thoughts on their practice with their team
• Bookmark and save plays, posts, and resources worth returning to
• View county-level reports on playbook adoption, organizational change, and effective relational practices
• Interact with Sprout, an AI assistant that answers practice questions grounded in CRMC content

Information We Collect

When you use Gameplan, the following categories of information may be collected or accessed:

Account Information

When you sign in, we collect basic identifying information including your name, email address, role, and the organization or county you are associated with. This is used to authenticate you, associate your activity with your account, and route the right playbooks and reports to you.

Goals, Reflections, and Team Feed Content

We store goals you create, reflections you log on what you tried, posts you share to the team feed, and bookmarks you save. This content is associated with your account and visible to other authorized users within your organization in accordance with the app's configuration.

Playbook and Report Engagement

We collect information about which playbooks and plays you view, save, or apply to goals, and which reports you access. This helps your organization understand adoption patterns and supports your own personalized experience within the app.

Sprout AI Interactions

Questions you ask Sprout and the responses provided are stored to support continuity of your practice and to improve the quality of guidance over time. Sprout interactions are associated with your account and your county context.

Camera and Photo Access

Gameplan may request access to your device's camera or photo library so you can attach images to goals, reflections, or posts you choose to share. Photos are only captured or accessed when you actively initiate that action. We do not access your camera in the background.

Device and Usage Information

We may automatically collect basic technical information such as device type, operating system version, app version, and crash or error logs to maintain and improve the app.

How We Use Your Information

We use the information collected through Gameplan to:

• Authenticate users and provide access to authorized features
• Deliver playbooks, plays, reports, and content relevant to your role and county
• Store and sync goals, reflections, posts, and bookmarks across your devices
• Generate county-level reports on playbook adoption, organizational change, and relational practice for partner agencies
• Provide and improve the Sprout AI assistant and its grounding in CRMC content
• Maintain, troubleshoot, and improve the app
• Comply with legal, contractual, and security obligations

How Your Information Is Stored and Protected

Information collected through Gameplan is stored on secure cloud infrastructure operated by Lifelab Studios and our infrastructure providers. We use industry-standard administrative, technical, and physical safeguards to protect against unauthorized access, alteration, disclosure, or destruction of information.

Access to user data is limited to authorized Lifelab personnel and contractors who require access to perform their job duties.

Sharing of Information

We may share information in the following limited circumstances:

• Within Your Organization. Goals, reflections, posts, and team feed contributions you create through Gameplan may be visible to other authorized users within your organization or county in accordance with the app's configuration. Aggregated and individual playbook adoption and reflection data may also be reflected in reports made available to your organization's leadership.
• Service Providers. We use trusted third-party service providers (for example, cloud hosting, authentication, and AI infrastructure providers that power Sprout) to operate the app. These providers are contractually obligated to protect your information and use it only to provide services to us.
• Legal Requirements. We may disclose information when required by law, subpoena, court order, or other valid legal process, or to protect the rights, safety, or property of Lifelab, our users, or others.
• Business Transfers. In the event of a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to confidentiality protections.

Permissions on Your Device

Gameplan may request the following device permissions:

• Camera — to capture photos you choose to attach to goals, reflections, or posts
• Photo Library — to attach existing photos to goals, reflections, or posts
• Notifications — to remind you about goals, team activity, or new content (when you opt in)
• Internet/Network — to communicate with our servers

You can revoke any of these permissions at any time through your device settings. Some features of the app may not function if required permissions are revoked.

Your Choices

As an authorized user, you may:

• Update or correct your account information by contacting your organization administrator or Lifelab support
• Edit or delete goals, reflections, posts, and bookmarks you have created within the app, subject to your organization's retention requirements
• Revoke device permissions through your operating system settings
• Delete your account from within the app at any time (Profile → Settings → Delete Account). When you delete your account, your personal information and private content are permanently removed; goals, reflections, and posts you contributed to your team may be anonymized so they remain useful to teammates relying on shared history, in accordance with your organization's retention requirements
• Request additional support by contacting Lifelab support

Because Gameplan is an organizational tool, certain content and account records may be retained by Lifelab or your organization to meet legal, contractual, audit, or operational requirements even after your individual access ends.

Children

Gameplan is not directed to and is not intended for use by children under the age of 18. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this policy. Material changes will be communicated to authorized users through the app or by email.
